How to Schedule Zoom Meetings via Canvas
Overview
Capitol Technology University uses Zoom (Capitol Live) as its official web conferencing platform. If your course includes synchronous components—such as weekly lectures, office hours, or group sessions—you’ll need to schedule Zoom meetings through Canvas.
This guide walks you through accessing Zoom from your course, scheduling recurring class sessions, and managing meeting settings.

Instructions
- Access Zoom in Your Canvas Course
- Log in to Learn@Capitol (Canvas)
- Select the appropriate course from your Dashboard
- In the left-hand navigation menu, click Capitol Live (Zoom)
- Schedule a New Meeting
- Click the Schedule a New Meeting button in the upper right
- Fill in the following details:
Field | Recommendation |
Topic | Course Name or Meeting Title (e.g., “CS-220 Week 1 Lecture”) |
Description | (Optional) Brief summary of what the session will cover |
When | Set the first class date and time |
Duration | Set the expected duration of the session |
Time Zone | Ensure this is set to Eastern Time (US & Canada) |
Recurring Meeting | Check this box if this is a weekly class |
Recurrence Options | Select Weekly, the day(s), and an end date for the term |
Registration | Leave unchecked unless otherwise required |

- Click Save when finished.
- Confirm and Share Meeting Access
- Your scheduled Zoom sessions will now appear under the Upcoming Meetings tab in Capitol Live (Zoom)
- Students can access each session by clicking the Capitol Live (Zoom) tab in Canvas and selecting the correct date
- No need to send Zoom links separately—Canvas manages this for you
- For Asynchronous Courses – Schedule a Welcome Session
- Even if your course does not meet weekly, you are required to host a Welcome Session during the first week.
- Follow the same scheduling process above and label the topic clearly (e.g., “Welcome Session: Introduction to the Course”)
Troubleshooting
Issue | Solution |
“Capitol Live (Zoom)” is missing | Enable it under Settings > Navigation |
Students can’t see the meeting | Ensure the meeting is saved and the course is published |
Wrong time zone | Edit the meeting settings and confirm Eastern Time is selected |
Recurring meeting not showing all dates | Double-check recurrence settings and date range |
