Enabling and Managing Microsoft Teams Notifications

Overview

Description: This guide explains how to enable, customize, and manage notifications in Microsoft Teams to ensure you stay updated on messages, calls, and team activities without being overwhelmed. 

Estimated Time of Completion (ETOC): 10 minutes.   

Instructions

  1. Accessing Notification Settings 
    • Desktop App or Web App: 
      • Open Microsoft Teams. 
      • Click your profile picture or initials in the top-right corner. 
      • Select Settings from the dropdown menu. 
      • Navigate to the Notifications tab. 
    • Mobile App: 
      • Open the Microsoft Teams app. 
      • Tap the hamburger menu (three horizontal lines) in the top-left corner. 
      • Go to Settings > Notifications.
  2. Customizing Notification Preferences 
    • Messages: 
      • Under Chat, choose whether to receive notifications for All messages, Mentions, or Off. 
      • Enable or disable banner (pop-up) notifications or email alerts. 
    • Teams Activity: 
      • Customize notifications for team channels under Teams and Channels: 
        • All Activity: Get notified for every message and activity. 
        • Mentions and Replies: Only receive notifications for @mentions and thread replies. 
        • Off: Turn off notifications for specific channels. 
      • Use the Edit option to manage notifications per channel. 
    • Calls and Meetings: 
      • Adjust settings under Meetings and Calls to receive notifications for meeting reminders, missed calls, and voicemails. 
    • Other Notifications: 
      • Enable or disable notifications for reactions, likes, and missed activity emails.
  3. Managing Quiet Hours (Mobile App Only) 
    • In the mobile app, go to Settings > Notifications > Quiet Hours. 
    • Set specific times or days to mute notifications (e.g., weekends or evenings).
  4. Adjusting Focus Settings
    • Windows: Use Focus Assist to minimize distractions. Open your system’s notification settings and customize priority rules. 
    • Mac: Use Do Not Disturb to pause notifications temporarily. 

Troubleshooting

  • Not Receiving Notifications: 
    • Ensure that notifications are enabled for Teams in your device’s system settings. 
    • Check if you’ve accidentally muted a chat or channel. 
    • Restart the app or log out and log back in. 
  • Receiving Too Many Notifications: 
    • Review your Teams notification settings to minimize unnecessary alerts. 
    • Customize individual channel settings to reduce clutter. 
  • Quiet Hours Not Working: 
    • Confirm that your device’s system time and Teams settings are in sync.
