Taking Screenshots (Mac & Windows)

Overview

Description: This article covers how to take screenshots on both Mac and Windows computers using built-in tools and keyboard shortcuts. 

Estimated Time of Completion (ETOC): 5 minutes 

Mac

  1. Take a Full-Screen Screenshot: 
    • Press Shift + Command + 3 
    • If a thumbnail appears in the corner, click it to edit, or wait for it to save to your desktop. 
    • By default, the screenshot will be named “Screen Shot [date] at [time].png” and saved to your desktop. 
  2. Capture a Selected Portion of the Screen: 
    • Press Shift + Command + 4 
    • Your cursor will change to a crosshair. Click and drag to select the area you want to capture. 
    • Release the mouse to take the screenshot. 
  3. Change Screenshot Save Location (macOS Mojave or later): 
    • Press Shift + Command + 5 to open the Screenshot app. 
    • Click Options and select a different save location. 
    • You can also drag the thumbnail preview to a folder or document. 

Windows

  1. Take a Full-Screen Screenshot (Print Screen Method): 
    • Press the Print Screen (PrtScn) button on your keyboard. 
    • The screenshot is copied to the clipboard. 
    • Open an app like Microsoft Word, then press Ctrl + V to paste it. 
    • To save automatically, press Windows Key + PrtScn, and the screenshot will be saved in the Pictures > Screenshots folder. 
  2. Snip & Sketch (Windows 10): 
    • Press Windows Key + Shift + S to activate Snip & Sketch. 
    • A menu will appear, allowing you to choose: 
      • Rectangular Snip – Select a portion of the screen. 
      • Freeform Snip – Draw a custom shape. 
      • Window Snip – Capture a specific window. 
      • Full-Screen Snip – Capture the entire screen. 
    • After capturing, a notification will appear—click it to edit or save the screenshot. 
  3. Snipping Tool (Windows 11): 
    • Open the Snipping Tool by searching for it or pressing Windows Key + Shift + S. 
    • Select the desired snip type (same options as Snip & Sketch). 
    • Once captured, the image is copied to the clipboard and can be saved to your Screenshots folder. 

Troubleshooting

  • Ensure you are using the correct keyboard shortcuts for your device. 
  • Check where screenshots are being saved (Desktop on Mac, Screenshots folder on Windows). 
  • If the Print Screen button is not working, try using Windows Key + Print Screen instead. 
  • For Snip & Sketch or Snipping Tool, ensure notifications are enabled to see the preview.
