Room Reservation Guide

Overview

Description: This guide provides a comprehensive overview for reserving rooms on campus, including information on who to contact, specific room requirements, and how to submit requests for various spaces. Whether you’re reserving a classroom, library space, or larger event area, follow these instructions to ensure your reservation process is smooth and efficient. 

Room Types

Classrooms

  • Scheduling: All classrooms, including those needed on weekends, holidays, and during evening hours, are scheduled by the Registrar’s Office. 
  • Library Room L-102: Considered a classroom and also scheduled by the Registrar’s Office. 

To reserve a classroom: 

  • Information Required: Include date, start time, end time, and purpose. 
  • Approval: All requests are reviewed, with availability confirmed by the Registrar’s Office. 
  • Lead Time: Submit requests 1-2 business days in advance. 

 Library Conference and Study Rooms

  • Library Conference Room (L103): A non-technical room with no projector or screen. Whiteboard available. This room accommodates about 10 people. 
  • Study Room (L104):  Non-technical room with no projector or screen. Whiteboard available. This room accommodates about 2-7 people.
  • Scheduling: Send your request to library@captechu.edu
    • Please provide:
      • Name
      • Phone Number
      • Date & Time
      • Description of event

Administrative Rooms & Event Spaces

  • Boardroom: Seats approximately 12 people. Equipped for Zoom meetings with overhead speakers and microphones. 
  • To Reserve: Add “Board Room” as a participant in your meeting invitation. Sherea or an administrative staff member will confirm availability. 
  • McGowan Seminar Room: Seats 12 people, equipped with a computer screen and projector for presentations or Zoom sessions. 
  • To Reserve: Email Ellen Hoch and Sherea Offer with your request. Confirmation will be provided based on availability. 
  • Auditorium, McGowan Atrium, and Student Center: Reserved for larger events and coordinated through Ellen Hoch. For special events, bookings are handled administratively. 
  • To Reserve: Submit requests through Campus Rental Form. This form ensures your request is documented and directed to the correct staff. 

*Student Center: Open for casual gatherings during regular hours. Reservations are generally not required unless an event necessitates exclusive use, typically scheduled during evenings, weekends, or holidays. 

 Room Capacities & Amenities

  • Library Conference Room: Capacity 10; no A/V equipment. 
  • Board Room: Capacity 12; set up for Zoom with audio/visual capabilities. 
  • McGowan Seminar Room: Capacity 12; includes projector and screen. 
  • Classroom C266: A larger classroom with A/V setup, suitable for up to 60 people (Facilities may adjust layout upon request). 
  • Event Spaces (McGowan Atrium, Student Center, Auditorium): Capacity varies based on layout. Notify Facilities for specific setup needs.
