Tuition Refund Policy

Overview

Description: This article outlines Capitol Technology University’s Tuition Refund Policy, providing important details about dropping or withdrawing from classes, the tuition refund schedule for 8-week and 16-week terms, and specific guidelines for military tuition assistance refunds. It explains refund eligibility, deadlines, and calculations, ensuring students understand their financial responsibilities and options.

Dropping or Withdrawing from Classes

It is your responsibility to officially drop any class you are registered for, even if you did not attend the first-class meeting.  Not attending classes is not an official withdrawal, and it does not relieve you of your financial obligation to Capitol Technology University.

Full refunds are available only if you officially drop before the first day of classes. After the first day, you will be subject to the tuition refund schedule, as clarified below. Refunds are effective on the date the drop or withdrawal is submitted to the Office of Registration and Records.

Refunds are given as a percentage of the tuition for each course. The percentage listed equates to the refund you would receive if your balance were fully paid before the start of class.  If you are on a company contract, you may be personally responsible for the balance of your tuition if your company pays only for completed courses.

Tuition Refund Schedule

8-Week Term

100% – Drops before the first day of classes

75% – During the first week of class

50% – During the second week of class

25% – During the third week of class

No Refund – After the third week of class

16-week Semester

100% – Drops before the first day of classes

75% – During the second week of class

50% – During the third week of class

25% – During the fourth week of class

No Refund – After the fourth week of class

Capitol Technology University Military Tuition Assistance Refund Policy

Return of Tuition Assistance:

Military Tuition Assistance (TA) is awarded to a student under the assumption that the student will attend school for the entire period for which the assistance is awarded. When a student withdraws, the student may no longer be eligible for the full amount of TA funds originally awarded.

To comply with the Department of Defense policy, Capitol Technology University will return to the Department of Defense any unearned TA funds on a proportional basis through at least the 60% portion of the period for which the funds were provided. TA funds are earned proportionally during an enrollment period, with unearned funds returned based upon when a student stops attending.

If a service member stops attending due to a military service obligation, Capitol Technology University will work with the affected service member to identify solutions that will not result in a student debt for the returned portion.

Calculation:

When a student “officially” withdraws from a course, the date of withdrawal will be used as the last date of attendance.

If a student receives a grade of “F” (failure for nonattendance) for a course, that is considered an “unofficial” withdrawal. For unofficial withdrawals, Capitol Technology University will determine the last date of attendance by reviewing the last date of activity within a course. For online courses, Capitol Technology University will determine the last date of attendance based on the last date a student made a contribution to the class or submitted an assignment. For on campus courses, Capitol Technology University will reach out to the professor to determine the last date of attendance.

Once last date of attendance has been determined, Capitol Technology University will recalculate student’s TA eligibility based on the following formula:

                          Number of days completed

Total number days of the course         =       percent earned

Return of funds:

Determining eligibility for TA is class specific. The start and end date will be used for each class to determine eligibility.

Using the formula above, Capitol Technology University will be required to return to the Department of Defense some or all the TA awarded to service members that did not complete at least 60% of each course; creating a balance on the Capitol Technology University student account.
